Steps to Take Before Enabling Compliant Surcharging
You must have a Practice Management Bridge plan that includes Compliant Surcharging. For more information about your plan, contact our Customer Care team by calling 800-337-3630 or emailing [email protected].
Before you enable Compliant Surcharging, you need to:
- Decide the surcharge rate for all credit card transactions that would cover your practice’s processing fees.
The maximum allowable surcharge is 3% of the credit card transaction amount, but this varies by state. - If your practice has multiple physical locations with their own Merchant Identification Number (MID), decide which locations should have surcharging.
If any of your locations are in states or territories where surcharging is not allowed, ensure surcharging is disabled for them. See About Compliant Surcharging for implementation options, state-specific considerations, and a list of states and territories where surcharging is not allowed. - If you have multiple Balance Collect site(s) or a single Balance Collect site for multiple locations to accept online payments, ensure that your Balance Collect site(s) match the surcharging choices you made for your physical location(s).
- If your state mandates specific language for surcharging disclosures, ensure you know what language your receipt label should use for the surcharge.
Once you make those decisions, contact our Customer Care team by calling 800-337-3630 or emailing [email protected] and provide them with that information. They will enable Compliant Surcharging and apply those details.
Steps to Take After Compliant Surcharging is Enabled
After Compliant Surcharging is enabled, you need to post surcharge notices at both the:
- Point of entry (e.g., front desk or entrance)
- Point of sale (e.g., card reader or checkout area)
See Sample Surcharging Signage for templates for physical signage. If you have a Balance Collect site for online payments, a surcharge disclaimer will automatically be displayed on the payment screen if the payment method entered is a credit card.
With Compliant Surcharging enabled, all credit card transactions under the specific Merchant Account(s)/location(s) will not include a surcharge.
Card on File (Vault) and Recurring Payment Plan Considerations
Card on File (Vault): If you had cards stored on file in Vault before you enabled Compliant Surcharging, they cannot be surcharged as they are on the old, non-surcharging Merchant Account (location). To use cards stored on file in Vault with surcharging applied, you must:
- Delete the pre-Compliant Surcharging cards stored on file in Vault. See Delete a Card on File in Vault for more information.
- Re-add the cards to the Vault after Compliant Surcharging is enabled to the surcharging Merchant Account (location). Once re-added, the cards stored in the Vault will now be surchargeable.
